  • Manages daily activities: advanced, proactive diary management; to include internal/external meetings, conference calls
  • Partners with relevant groups to execute travel and entertainment booking and enable expense processing within policy - escalates and enforces all CIB/Firmwide T&E policies with their team including receipt requirements and timely handover of required information
  • Greets clients: internal and external client handling to include client facing interaction and co-ordination of department scheduling and transactional activity
  • Cooperates with Business Management and other key business stakeholders cross Line of Business, has ability to face off to wider support groups
  • Utilizes internal systems, completes accurate data entry, produces reporting and collates information as required
  • Oversights for distribution lists, technology usage and other administrational housekeeping
  • Becomes integral part of business, understands changeable group priorities and business expectation
  • Partnerships with assistants cross Line of Business to provide coverage as required
  • Coordinate high-profile events across multiple regions, optimizing attendance and client engagement
  • Manage roadshow logistics as well as maintaining client lists
  • Professional client handling, ability to build and maintain business relationships
  • Full competency in diary management, can apply good judgment and understand competing priorities
  • Experience of effectively arranging travel, production of accurate itineraries, plan B & C, able to navigate systems well and apply good judgment on how to optimise travellers time and business costs
  • Strong awareness of expense systems and cost control initiatives e.g., can champion expense policy
  • Polished, professional approach, calm and composed manner, ability to work in a pressured environment and partner effectively across different hierarchies
  • Exhibits a positive, common sense approach and can drive forward seniors schedule for efficient time management
  • Has a high level of attention to detail and delivers high quality results
  • Proficiency in managing databases and client information systems
  • Stays current with all CIB/Firmwide Policies and can comfortably ensure those they support understand how to adhere to same. Will escalate concerns or issues
  • Fluency in English and German
  • Option on long-term project in a world-wide leading bank
